We are looking for a Project Assistance Services for one of our clients with the following details:

Start date: ASAP

Duration: 12 months (renewable)

Location: Paris area, France

Status: Residential

Qualifications & Experience Required

  • Time-Sheet Registration (MyCats)
  • HSSE Compliance

Technical Requirements

  • Secretarial / Administrative Assistant related diploma or equivalent.
  • Advanced expertise and experience of Project Administration and secretarial techniques.
  • Knowledge of company rules, procedures and tools.
  • Experience with Office suite (Word, Excel & Power point).
  • Personal and business organizational skills, including Project management.
  • Ability to interact and to work closely with various stakeholders including but not limited to diverse international teams, contractors & subcontractors, affiliates, HQ, etc.
  • Organizational skills, effective communicator, both written and verbal (English mandatory).
  • Experience with Health Safety and Environment (in offices) practices.
  • Ability to take ownership of projects and tasks, work independently and follow through on assignments with minimal direction.

Activities:

  • To organize and follow up Project Management team agenda as requested.
  • To manage and order necessary offices supplies.
  • To organize or give assistance for the organization of meetings and associated logistics (internal meetings / meetings with Partners / Contractors or special events).
  • To welcome and guide visitors.
  • To assist in the organization of the arrival of newcomers and departures (assignment of offices, IT and phone equipment...).
  • To maintain Project Directory, schedule of absence / presence / missions and any other directory as necessary.
  • To organize travel arrangements for the Project team (Paris based) as necessary: organise missions, perform bookings and treat in a timely manner expenses statements of travellers via Treck+.
  • To assist OneTech personnel in the registration of Time Sheets (MyCats) and other requested information and data as requested by internal rules.
  • To keep informed the Project Management team of matters related to the office building.
  • To support the Project team for material purchases (My eProc) and to manage Purchase Order creation for external commitments.
  • To liaise with other assistants for ensuring whole consistency of the organization of their work.
  • To type / register / manage outgoing correspondences or any paperwork for Project Management team as requested, in coordination with project Document Controller.
  • To receive / dispatch / register / manage information and correspondences, in coordination with project Document Controller.
  • To manage on behalf of the team, interface with building management for any reporting and follow up of offices in Tour Couple.
  • To report to Project Director or Project Control Manager any area of concern.
  • To adopt and demonstrate exemplary behaviour with regard to HSSE and to respect all HSSE requirements.
