Receptionist

Under the general supervision of the Manager, Administrative & Executive Support, the Receptionist is responsible for ensuring that visitors and employees are greeted warmly and professionally - either in person or on the phone, ensuring visitor requirements are completed and for facilitating smooth and time-efficient entry into the buildings. This position will assist with general office requirements. This position requires the ability to work independently and as part of a team, exercising judgment and initiative.

Location: Pickering, ON.

Your role within the team:
  • Single Point of Contact (SPOC) for all deliveries, visitors, contractors, etc. as well as the point of contact for facility issues as reported by staff/management.
  • Coordinate facility issues with landlord and head office Facilities Manager.
  • Coordinate with office contracts such as coffee, cleaning, and supply orders.
  • Greet staff: Issue temporary access cards to staff, as required; Record staff name, employee number, and sign-in date and time in Staff Sign-In Log; Report badge number and employee number to Security for activation.
  • Greeting visitors: Verify visitor identity for sign-in by examining photo ID; record visitor/sponsor name and sign-in date and time in Visitor Log; Issue visitor badge; Ensure first-time visitors view safety video; Contact sponsor to escort visitor; at the end of the visit collect visitor badge and note sign-out time in Visitor Log. Daily check of visitor card drop box.
  • Greet contractors: Verify identity for sign-in by examining photo ID; Cross-reference contractor name to CSO Master List to ensure CSO training is current and if so, record contractor/sponsor name and sign-in date and time in Contractor Log; Issue contractor badge; Report contractor name and badge number to Security for activation; Notify sponsor of contractor arrival; Upon Contractor departure, collect contractor badge and note sign-out time in Contractor Log; If training is not current, issue visitor badge, contact sponsor to advise and upon request, assist with scheduling of CSO training session with Health & Safety Department.
  • Answer and direct telephone calls; Assist callers including answering inquiries and providing general information.
  • Maintain CSO Master List: Add new contractor information and expiry date(s); Up-date list daily to denote expired training; Notify contractor sponsors on a regular basis of upcoming training expiry dates and assist in arrangements for refresher CSO training; Scheduling and booking of conference rooms for CSO sessions.
  • Manage conference room bookings.
  • Assist with clerical tasks as assigned by Management: i.e., Inputting ITSM tickets for access clearances; and maintaining Access Logs (Acers, etc.)
  • General office requirements:
    • conference rooms: whiteboards cleaned, general tidiness
    • coffee machines to be maintained daily; coffee supplies maintained and ordered
    • washrooms stocked with hygiene products
    • refill of hand sanitizer wipes in dispensers
    • printer area: maintain paper stock and ensure printer is online, contact Reproduction Team as required
    • assist with catering orders/deliveries
    • locker assignments
  • Undertake special assignments as required or as assigned by Management.
