Document Control Lead

Your role within the team:
  • Administer the use and have overall control of the project documentation and within the approved EDMS system.
  • Enforces all aspects of Document Control functions through work processes and procedures for document management to meet all objectives.
  • Develop and maintain project/functional procedures associated with relevant Document Control / Correspondence Control processes that meet Nuclear Standard, Codes, and best department and Industry practices.
  • Coordinates document control activities with internal staff, departments and clients.
  • Maintain documentation - receive, process and control deliverable and non-deliverable documentation using the approved EDMS system:
    • Using approved EDMS system process and distribute documentation received from Internal clients, External clients, site and suppliers.
    • Update document baseline where applicable per project instructions.
    • Process and record engineering requests for filing documentation received from Candu or third parties, includes all supporting information, administrative and technical records.
    • Interface with internal and external service providers (i.e. courier, Engineering Tools) to meet project schedules.
    • Coordinate all aspects of formal documentation shipments to customers and suppliers, including tracing of shipments with SP Courier Services if required by contract.
  • Ensure the established documentation work processes are implemented, followed and maintained, including quality assurance checks to demonstrate conformance, thereby ensuring that accurate records are kept and maintained for proper audit trails.
  • Ensure the timely and accurate processing and recording of deliverables per project contractual obligations, to meet schedules and avoid monetary penalties/delayed placement of orders/inaccurate information.
  • Act as Customer Service/Support Function in relation to Document Control, with regards to document control applications.
  • Generate statistic and adhoc reports; conduct system queries on status of documents.
  • Assist Engineering and Project Control staff regarding documentation processes and queries.
  • Ensures quality of all drawings and documents prior to issue (Administrative check), as per document control procedures and documented processes.
  • Maintain and enforces project procedures associated with relevant Document Control / Record Management processes.
  • Responsible for reporting inadequate resource availability for project work.
  • Responsible for reporting issues with documentation and or issues with engineering staff.
  • Responsible for reporting issues with team members, providing the issue and possible solutions.


Leadership Responsibilities -
  • Provide technical guidance and coach co-workers, as a single point of contact.
  • Supervise work within a work unit composed of employees within own discipline or a related area of specialization.
  • Determining the document control applications training needs of employees.
  • Accountable for the work results.
  • Organize, train and/or provide knowledge transfer of any required Document Control processes.
  • Exercises independent judgment in selecting and interpreting information, handling deviations from standard methods and resolving difficulties.


Problem Solving & Decision Making -
  • The incumbent must be forward thinking, able to anticipate upcoming issues
  • Makes decisions and recommendations within authorized limits.
  • Monitor system database; investigate and correct any inconsistencies or discrepancies found.
  • Perform quality assurance checks on all documentation; identify and correct problems.
  • Exercises independent judgment in selecting and interpreting information, handling deviations from standard methods and resolving difficulties
  • Capable of recognizing and capitalizing on opportunities for improvement. Recommend improved work methods and processes to increase the efficiency of Document Control processes.

The ideal candidate:
  • College graduate in Business Administration or a technical subject from a college of recognized standing or equivalent experience resulting in a sound knowledge of some business principles.
  • Experience in related field.
  • Experience leading staff.
  • Must possess adequate work experience and confidence to work independently with a minimum of supervision.
  • Communicate effectively, as required, with clients, site staff, subcontractors and suppliers to achieve the project requirements, and to develop accurate processes.
  • Knowledge and proficiency in the Document Management.
  • Knowledge and proficiency in Microsoft Office programs, knowledge in PDF applications. Knowledge of the Records Management System
  • Proficient in using computerized Document Management applications / Electronic Document Management Systems (EDMS).
  • Good understanding of engineering and procurement documentation
  • Good organizational skills with accurate attention to detail, with the ability to establish priorities and work under pressure to meet schedules
  • Good understanding of company and project requirements, and able to offer practical suggestions for Document Control involvement.
  • Self-starter, requiring minimum guidance.
  • Uses initiative to identify, investigate and solve problems.
  • Good understanding of the document security requirements through the document processing stages including restrictions and export permits.
  • Demonstrated capability of working under tight timelines.
