Op zoek naar een Senior Secretaresse om uitgebreide ondersteuning te bieden aan het bestuur en het managementteam, hun behoeften te antic iperen en soepele operaties te garanderen.

Functie omschrijving

Als Senior Secretaresse ben je een sleutelfiguur binnen het secretariaat van onze afdeling en fungeer je als het primaire aanspreekpunt. Je rol omvat uitgebreide secretariële en administratieve taken, het behouden van een operationeel overzicht en het coördineren van werkzaamheden. Je beheert zelfstandig complexe agenda's, ondersteunt collega's, organiseert vergaderingen en regelt zakenreizen. Je proactieve aanpak en sterke organisatorische vaardigheden helpen je problemen op te lossen voordat ze zich voordoen.

Taken:

• Coördineren van complexe afspraken voor de directeur en het managementteam.
• Proactieve ondersteuning bieden door vragen van collega's te beantwoorden en correspondentie te archiveren.
• Vergaderingen organiseren en zorgen voor alle benodigde faciliteiten.
• Notulen maken tijdens managementvergaderingen.
• Zakenreizen regelen, inclusief het boeken van vluchten, accommodaties en het afhandelen van visumaanvragen.

Werkplek:

Je werkt vanuit ons kantoor in Rotterdam, binnen een team van afdelingssecretaresses. De afdeling bestaat uit ongeveer 2.400 collega's wereldwijd.

Functie vereisten

• Minimaal MBO+ niveau opleiding, bij voorkeur in secretariële studies.
• Minimaal 5 jaar ervaring in een vergelijkbare rol, bij voorkeur binnen een grote internationale organisatie.
• Beschikbaarheid voor 36-40 uur per week.
• Technische affiniteit is een pluspunt.
• Uitstekende communicatieve vaardigheden in zowel Nederlands als Engels, mondeling en schriftelijk.
• Collegiale, flexibele en servicegerichte houding.
• Vermogen om beslissingen te nemen en behoeften te anticiperen.
