Administrative Assistant III
One of our clients, a major oil and gas company has tasked us with finding a Administrative Assistant to join their team at Quarry Park for a 12-month contract. The successful candidate will be responsible for providing comprehensive administrative support, ensuring smooth day-to-day operations, and contributing to the efficiency of the office environment.

Key Responsibilities:

  • Administrative Support:
    • Perform general office duties, including managing schedules, coordinating meetings, and handling phone and email communications.
    • Prepare and proofread correspondence, reports, presentations, and other documents as needed.
    • Maintain office supplies and equipment, ensuring proper inventory levels and coordinating orders when necessary.
  • Data Management:
    • Assist with data entry, filing, and organization of both digital and physical documents.
    • Maintain and update company databases and records with accuracy.
  • Customer and Vendor Relations:
    • Serve as a point of contact for clients, vendors, and visitors, ensuring positive interactions and professional service.
    • Assist with scheduling and coordinating meetings, appointments, and conferences with clients and vendors.
  • Event Coordination:
    • Assist in the planning and coordination of office events, meetings, and team-building activities.
  • Travel and Logistics Support:
    • Assist with travel arrangements, including booking flights, accommodations, and transportation for staff and visitors.
    • Help coordinate logistics for team meetings, off-site events, and conferences.
  • General Office Maintenance:
    • Support in maintaining a clean, organized, and efficient office environment.
    • Assist with office-related projects and tasks as assigned by management.

Qualifications:

  • Education & Experience:
    • High school diploma required; post-secondary education in office administration or a related field is an asset.
    • Minimum 1-2 years of administrative experience or equivalent office support experience.
  • Skills & Competencies:
    • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
    • Strong written and verbal communication skills.
    • Highly organized, with excellent attention to detail and ability to prioritize tasks effectively.
