Administrative Assistant III
One of our clients, a major oil and gas company has tasked us with finding a Administrative Assistant to join their team at Quarry Park for a 12-month contract. The successful candidate will be responsible for providing comprehensive administrative support, ensuring smooth day-to-day operations, and contributing to the efficiency of the office environment.

- Administrative Support:
- Perform general office duties, including managing schedules, coordinating meetings, and handling phone and email communications.
- Prepare and proofread correspondence, reports, presentations, and other documents as needed.
- Maintain office supplies and equipment, ensuring proper inventory levels and coordinating orders when necessary.
- Data Management:
- Assist with data entry, filing, and organization of both digital and physical documents.
- Maintain and update company databases and records with accuracy.
- Customer and Vendor Relations:
- Serve as a point of contact for clients, vendors, and visitors, ensuring positive interactions and professional service.
- Assist with scheduling and coordinating meetings, appointments, and conferences with clients and vendors.
- Event Coordination:
- Assist in the planning and coordination of office events, meetings, and team-building activities.
- Travel and Logistics Support:
- Assist with travel arrangements, including booking flights, accommodations, and transportation for staff and visitors.
- Help coordinate logistics for team meetings, off-site events, and conferences.
- General Office Maintenance:
- Support in maintaining a clean, organized, and efficient office environment.
- Assist with office-related projects and tasks as assigned by management.
Qualifications:
- Education & Experience:
- High school diploma required; post-secondary education in office administration or a related field is an asset.
- Minimum 1-2 years of administrative experience or equivalent office support experience.
- Skills & Competencies:
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Strong written and verbal communication skills.
- Highly organized, with excellent attention to detail and ability to prioritize tasks effectively.
