Position Summary:

The Asia GZ HSE Administrator is responsible for the centralized coordination and management of HSE-related documentation, Tenders, systems, and compliance activities across the GeoZone. This role supports the GZ HSE team.

Key Responsibilities:
  • Documentation & Records Management.
  • Maintain and update HSE documentation including procedures, forms, audit reports, risk assessments, training records, and incident files.
  • Control versioning, distribution, and archiving of all GZ HSE documents in line with company standards.
  • Coordinate document reviews and approvals in alignment with the HSE document control process.
  • Tender & Client Requirement Support
  • Coordinate and prepare HSE documentation packages required for client tenders and contractual requirements.
  • Act as the central point of contact for HSE input related to commercial submissions.
  • Track and maintain a register of all client-specific HSE requirements and ensure timely updates.
  • System Administration
  • Administer GZ SharePoint HSE sites, ensuring content is current, accessible, and aligned with global structure.
  • Support the maintenance and data entry of WFRD HSE systems (e.g WPTS, training platforms, TMDE, audit trackers).
  • Generate system reports as needed for compliance tracking and performance metrics.
  • Compliance & Audit Support
  • Assist in scheduling, documentation preparation, and close-out tracking for internal and external HSE audits.
  • Maintain accurate and accessible records for certifications, licenses, and legal compliance registers.
  • Support coordination of management reviews and region-wide HSE performance reporting.
  • Support GZ Safety Steering Committee arrangement and coordination
  • Collaboration & Communication
  • Liaise with country HSE teams to ensure uniform application of HSE administration practices.
  • Provide support to local teams on document management and system use.
  • Participate in regular team meetings and support initiatives for HSE program improvements.


Experience:
  • Diploma or bachelor's degree in business administration, Occupational Health & Safety, or a related field.
  • Minimum 3 years of experience in an administrative role within an HSE or compliance-focused function.
  • Familiarity with HSE management systems and regulatory requirements.
  • Experience with Microsoft Office Suite, SharePoint, and document control systems.
  • Strong attention to detail, organizational skills, and ability to manage multiple priorities.
  • Effective communication skills and ability to work with cross-functional teams across different cultures.
