Vendor Data Coordinator

We are looking for a Vendor Data Coordinator for one of our clients with the following details:

Start date: 09/09/2024

Location: Nanterre - France

Contract Duration: 6 months

Skills required:

  • Engineer with knowledge of how EPC projects work (knowing how to read P&IDs is a plus).
  • Strong data appeal, comfortable with databases and handling large volumes of data.
  • Similar or data management experience desired.
  • Proficiency in Excel; Knowledge of PowerBI is a plus.
  • Rigorous, responsive, good interpersonal skills and good communication skills.
  • Good analytical skills.
  • Ability to work independently and as part of a team.
  • Good level of written and oral English.

Procedures and Methodology:

Follow project rules, best practices, and applicable quality assurance procedures, including:

  • Information Quality Management Framework.
  • Information Management Plan.

Quality of documentation:

Ensure that the documents produced meet the required quality standards, including:

  • Technical quality.
  • Content quality (volume of information).
  • Quality of the presentation (graphics and readability).
  • All documents must be in the language of the contract.

Planning and objectives:

  • Follow the established objectives and schedules, available from the operational contact

Main responsibilities:

Data management and coordination:

  • Have a good knowledge of the procedures sent to suppliers and subcontractors detailing the contractual requirements related to the supply and verification of data (tagging procedure, data control and quality, definition of the various registers, data supply process, etc.).
  • During the tendering phase, review requisitions to ensure that data requirements are included. Conduct sessions with requisition leaders as needed to explain the content of the requirements.
  • Participate in clarification meetings with suppliers and subcontractors as required.
  • Pre-populate records for suppliers and subcontractors from available data.
  • After placing an order, participate in the kick-off meeting with the selected vendor/subcontractor, to present the data requirements and ensure that they are well understood.
  • Review key documents issued by suppliers/subcontractors (e.g. P&ID) to ensure that tags are in accordance with the procedure.
  • Review the records of tags and associated properties submitted by suppliers/subcontractors, ensuring that these records are consistent with other documents and complete.
  • In the data sheets produced by the suppliers, check the presence and reliability of the model and serial number.
  • Coordinate with those responsible for requisitioning equipment/materials and disciplines in the review of these documents.
  • Follow up on suppliers and subcontractors (response to clarifications, reminders, etc.).
  • Participate in the production of reports on the progress and quality of the various registers.
  • Once the registers are mature enough, import them into the database where all the tags and technical data of the project are consolidated.

Team Integration:

  • Work under the direction of the Information Management Manager.
  • Follow the team coordination instructions related to the activities listed above.
