NOV Downhole Romania represents a critical operational unit within the National Oilwell Varco global enterprise, specializing in comprehensive technical support and maintenance of drilling, fishing, and information/communication technology (ICT) tools for the oil and gas industry. Through a dedicated team of technicians and assistant technicians, the unit provides essential maintenance, repair, and support services, ensuring high-performance standards in tool servicing while maintaining a meticulously organized and safety-conscious workplace environment that supports the broader objectives of precision engineering and industrial service delivery in the energy sector.

As Junior Logistics Operations Coordinator at NOV Downhole your primary job role is to coordinate the logistics of tool transfers/load-outs to ensure timely delivery of all tools to the other NOV locations or the customer. A key part of this process is to accurately update and maintain the NOV Track-A-Tool (TAT) System enabling full traceability and visibility of all tools and components. The role requires attention to detail in maintaining the systems, broad knowledge of freight and customs rules and regulations, good communication skills as well as ensuring all processes are completed conforming with all Downhole Quality and HSE Policies and Procedures.

DUTIES & RESPONSIBILITIES:

• Adhere to all Downhole HSEQ Policies and procedures and ensure PPE guidelines are followed in designated areas.
• Responsible to maintain the NOV Track-A-Tool and JDE Oracle System ensuring all information is accurately recorded to ensure full traceability of tools, components, usage history and invoicing
• Responsible for coordinating local and international transport for rental tool load-outs, internal transfers and rework items ensuring all customs rules, regulations and NOV freight policies are adhered to.
• Updating tool usages in TAT, creating packing slips and commercial invoices ensuring accurate descriptions and tool transfer values are used.
• Liaise with NOV Compliance department to ensure all logistics activities are conducted within NOV, EU and International regulations. Conduct visual compliance checks prior to shipments being dispatched as per NOV guidelines and report any red flag issues immediately.
• Updating of Import/Export logs and uploading of correct documentation into TradeDocs for International Imports and exports.
• Timely Monthly Intrastat reporting for all EU movements, dispatches and arrivals where tool movements relate to a sale or transfer of ownership.
• High level of communication with Sales and workshop operations personnel to ensure customer tool requests are fulfilled within designated timeframes.
• Coordinate customer Invoicing, maintain job files containing quotes, Tool Request Forms, customer PO and ensure on/off-hire dates are confirmed. • Coordinate customer owned tool service contracts, liaise with customer to prepare quotes, receive purchase orders and ensure timely invoicing for tools completed service. Update and maintain customer tool service/status report
• Participate in product and QHSE training as required and have an active role in the Downhole Competency System for any applicable Units
• Participate in Downhole's Observation Reporting System to identify potential hazards within the workplace
• Proactive involvement in the HSEQ System to participate in HSEQ meetings and highlight any improvement opportunities

Key Qualifications:

• At least Secondary Education Certification (Standard Grade Level or equivalent)
• Proven experience in logistics or related administrative job roles
• Fluent Romanian language
• Advanced English language proficiency in reading, writing, and speaking
• Strong computer literacy with comprehensive Microsoft Office application skills
• Fundamental knowledge of the oil and gas industry
• Computer literacy

Desirable Qualifications

• Technical qualification related to the job role
• Experience working with TAT and JDE systems
• In-depth knowledge of EU customs regulations
