What you will do:
As ENGIE GBS Romania grows rapidly this role ensures a professional, consistent, and seamless experience for all visitors and onsite events. The Visitor and Events Coordinator plays a key operational role in setting up and maintaining high standards for GBS-hosted visits, internal events, and local coordination of executive travel, partnering with support teams across Europe. The role acts as a bridge between facility operations, leadership teams, and external and internal guests, upholding the GBS's professional image and service culture.

What you will do:

The Visitor and Events Coordinator plays a key operational role in setting up and maintaining high standards for GBS-hosted visits, internal events, and local coordination of executive travel, partnering with support teams across Europe. The role acts as a bridge between facility operations, leadership teams, and external and internal guests, upholding the GBS's professional image and service culture.
Responsibilities:
Visitor Experience Management
- Design and implement the end-to-end visitor experience (from arrival to departure), ensuring a polished and consistent welcome for internal and external guests.
- Coordinate access, agenda, room bookings, visitor badges, catering, and IT needs in advance of each visit.
- Act as main point of contact during visits, ensuring smooth coordination on the day and rapid issue resolution.
- Ensure compliance with internal security, health & safety, and confidentiality standards.
Onsite Events Coordination
- Organize and execute internal and external events hosted onsite (e.g. leadership offsites, project launches, team building days).
- Handle logistics including room setup, catering, technical needs, printed materials, signage, and branding.
- Coordinate event budgets, vendor contracts, and feedback collection.
- Collaborate with HR, communication teams, and team leads to ensure alignment and smooth delivery.
Executive Delegation Support
- Support the visit planning and onsite execution for executive delegations from HQ or business units.
- Liaise with group travel teams and internal contacts to coordinate local agendas, transportation, restaurants, and protocol where required.
- Ensure discreet, responsive, and culturally appropriate coordination for senior stakeholders.
Operational Excellence & Tracking
- Maintain standard operating procedures and checklists for events and visits.
- Track and document all visits and events, including feedback, issues encountered, and improvement actions.
- Monitor relevant budgets, invoices, and vendor service performance.
- Identify and propose continuous improvement opportunities for efficiency and quality.
Desired education, expertise, and skills:
- Minimum 5 years of relevant experience in visitor management, executive support, or corporate event planning.
- Strong planning, coordination, and problem-solving skills with attention to detail.
- Excellent interpersonal and communication skills; professional presence and poise.
- Fluent in Romanian and English (written and spoken); French is a plus.
- Ability to work under pressure, manage last-minute changes, and handle sensitive situations tactfully.
- Strong user of Microsoft Office (especially Outlook, PowerPoint, Excel); knowledge of tools like MS Teams, SharePoint, and visitor management systems is an asset.
- Experience in a multinational or shared services setting is preferred.
