The Administration Assistant provides essential administrative support to the Operations & MRTA Manager and their leadership team. This role focuses on streamlining administrative tasks, enabling efficient day-to-day operations, and fostering effective coordination across key business activities.

Purpose of Role:
The Administration Assistant provides essential administrative support to the Operations & MRTA Manager and their leadership team. This role focuses on streamlining administrative tasks, enabling efficient day-to-day operations, and fostering effective coordination across key business activities.
Core Responsibilities:
- Manage and integrate calendars for the Operations & MRTA Manager and key leaders.
- Coordinate team travel, training schedules, and field visits.
- Organize team activities, including onboarding and engagement initiatives.
- Schedule, document, and track actions for key meetings (weekly/monthly).
- Coordinate site tours (e.g., for VIPs, JV partners, and community groups).
- Oversee team leave management, rosters, time-tracking, and absence reporting.
- Assist with HSSE incident reporting and follow-up.
- Provide reporting and data support for audits and management systems.
- Maintain organizational charts, distribution lists, and team communication platforms (e.g., SharePoint, MS Teams).
- Handle other administrative tasks as required by the Operations & MRTA team.
Skills & Requirements:
- Demonstrated experience in similar administrative roles.
- Advanced skills in Microsoft Office (Word, Excel, PowerPoint).
- Familiarity with incident management systems and financial tools (e.g., SAP).
- Excellent communication, time management, and problem-solving abilities.
- High attention to detail and ability to work autonomously.
- Proactive, professional, and team-oriented mindset.
