PURPOSE OF THIS POSITION
The Highland Kids + Students + Families Department seeks to advance and support the vision through proclaiming the Gospel, equipping and resourcing families for life and godliness, and discipling the next generation of believers to be Christ followers.
The Department Coordinator supports the Next Generation Ministry and the vision for Highland Park Presbyterian Church by playing a pivotal role ensuring the efficient operation of our Next Gen Ministry, spanning preschool through high school. In partnership with Next Gen Ministry area staff, this role encompasses event management, volunteer coordination, budgeting, facility management, operational norms, database management, and coordinating administrative functions across all age groups and with other ministry departments.

In partnership with Next Gen Ministry area staff, this role encompasses event management, volunteer coordination, budgeting, facility management, operational norms, database management, and coordinating administrative functions across all age groups and with other ministry departments.
DESIRED RESULTS/IMPACT OF THIS POSITION
- Administrative duties for the Next Gen team are fully and efficiently executed with keen attention to even the smallest detail.
- Operational and workflow norms have been established, allowing the Next Gen Ministry leaders to be freed up for more relational and volunteer driven ministry.
- Next Gen Ministry Area Directors are experiencing improved workflow effectiveness.
- As standard operating procedures are established and continue to be managed, the entire Next Gen team feels fully supported and have a sense of impactful collaboration.
KEY RESPONSIBILITIES
- Event Management:
- In partnership with Next Gen Ministry Area Directors, plan, coordinate, and execute all administrative details related to events for Next Gen Ministry, including preschool through high school.
- Ensure seamless logistics, scheduling, and support of events to help Next Gen Staff create impactful experiences for children, youth, their families and volunteers.
- Volunteer Recruiting and Management:
- In partnership with Next Gen Ministry Area Directors, develop and implement strategies to recruit, train, and retain volunteers for all Next Gen Ministry programs across preschool through high school. This will also involve partnering with our Connections department to ensure the volunteer processes are efficient and effective.
- Partner with Next Gen Ministry Area Directors to provide leadership and support to volunteers, ensuring they are cleared to serve through our volunteer screening and onboarding process.
- Budget Planning and Management:
- Collaborate with Next Gen Ministry leaders to develop annual budgeting process and financial planning for the Next Gen Ministry across all age groups preschool through Highschool, including both general budget and WOODS Foundation grant money.
- Monitor expenses, manage financial platforms (Martus, Nexonia) effectively, and provide regular reports to Next Gen Ministry leaders.
- Partner with Next Gen Ministry Area Directors to establish standardized budgeting processes and evaluations for events, trips, and weekly programs
- Facility Rental and Management:
- In partnership with Minister to Families and Facilities staff, oversee the scheduling (gym rentals and Bell Center usage), maintenance, and use of facility areas utilized by the Next Gen Ministry, ensuring they meet the specific needs of preschool through high school programs and help accomplish the vision of the church.
- In conjunction with Next Gen Ministry staff, coordinate with church administration for any maintenance, improvements, and cleanliness of ministry spaces.
- Meeting Rhythms:
- In partnership with Next Gen Staff, establish and facilitate effective meeting rhythms ensuring clear communication, coordination and follow up on action items. This includes helping to facilitate an annual ministry planning process for Next Gen Ministry, calendaring weekly meetings.
- Facilitate regular meetings with Next Gen Ministry staff to review progress, address challenges, and align on ministry objectives.
- Monitor the daily "stand up mtg" channel in TEAMS for any opportunities to collaborate or support the Next Gen Ministry areas.
- Operational Norms:
- In partnership with Minister to Families, create operational norms for Next Gen Ministry staff that includes ongoing training for our office working platforms such as, Nexonia, Teams, Martus, Bamboo, HUB (Church Community Builder) and ADP.
- In partnership with Next Gen Ministry staff, help create and or enhance weekly workflow norms to maximize efficiency in executing the work of our Next Gen Ministry.
- In partnership with Next Gen Ministry staff establish and maintain a list of vendors we use regularly for events, activities, retreats and mission trips, and contract labor.
EDUCATION, EXPERIENCE, SKILLS AND ABILITIES
- Education: Bachelor's degree preferred, or equivalent experience
- Experience: 3 years in admin role
- Skills: Microsoft office, financial management software, database management
- Abilities: frequent lifting under 30 lbs.; ability to maintain composure under pressure
