Airswift is seeking a highly organized and proactive Business Services Coordinator II to support one of our major clients in the OIl & Gas Industry. This role involves coordinating activities, managing administrative tasks, and ensuring smooth communication across departments. The ideal candidate will be self-motivated, detail-oriented, and comfortable working with minimal supervision in a dynamic environment.
Key Responsibilities:
- Organize and support team activities, meetings, and events.
- Perform administrative tasks to facilitate the department's initiatives.
- Coordinate schedules, maintain team calendars, and update the organizational chart.
- Manage and update Outlook distribution lists and vendor contact information.
- Administer and maintain the team's SharePoint site.
- Handle logistics for meetings and events, including venue selection, catering, calendar invites, agenda preparation, sign-in sheets, and records.
- Order and manage inventory for materials such as signage, posters, and branded items.
- Provide on-site logistical support during team events.
- Support cost management through efficient ordering and resource utilization.
- Undertake additional administrative duties as needed.
Required Skills and Qualifications:
- Strong written and verbal communication skills.
- Excellent organizational and time management abilities.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Experience with Microsoft SharePoint, EventX, Open Invoice, Chrome River, SurveyMonkey, and Slido.
- Ability to type 50+ words per minute.
- Strong initiative and ability to work independently.
- Event planning skills, including vendor coordination and logistics.
- Cost-conscious with a track record of resource-efficient planning.
- Familiarity with venues, caterers, and printing resources in the Permian area is preferred.

Additional Information:
