JOB DESCRIPTION
Overview:
The Shared Services Order Management group will support Operating Units globally, and will serve as a resource center for Global Order Management, Customers, Sales, Sales Support, Marketing Services, Engineering, Manufacturing, Accounting, etc. The primary role of the Shared Services Order Manager (OM) will be managing large valuable service and material contracts for goods and services required for the execution of the order(s) under their responsibility. The OM will analyze contractual requirements, special provisions, and terms/conditions for all 3rd party/Customer capital orders to ensure compliance procedures are followed from contract receipt through final payment/project close, in accordance with globally established procedures. The OM will work with business leads and stakeholders to develop and manage the initial supply chain demand for top-level materials and services on their orders, and serve as the single point of contact for all capital order-related issues. The OM will work to ensure contract information is accurate and complete, the Sales Order and project (if applicable) are entered the ERP, with correct part numbers placed on order, and achievable delivery dates are secured, in accordance with the customer's requests, and will take responsibility for the overall order delivery schedule. Daily, OMs maintain, validate and verify the information on their SOs is complete and accurate. The OM will also monitor all contract activity, report progress against plans, take corrective action as required to meet established plans, and communicate with all necessary parties (Customers, Sales, etc.) on order status.
Per API/ISO requirements, the OM will conduct a commercial review, while Engineering completes their technical review, for each order at time of contract receipt and ensure both NOV and the Customer perform their contractual duties/obligations while relaying discrepancies between the customer contract and NOV quote to Sales and the Customer. The OM will assume the lead role in issuing Purchase Orders for project and capital equipment orders to domestic and international NOV manufacturing facilities. The OM will be in communication with Sales, Accounting, Project Management, Quality Assurance, Document Control, Customers, and applicable Rig Systems domestic/international manufacturing facilities to assume the lead Expeditor role in ensuring both NOV performs our contractual duties and obligations to maintain positive On Time Delivery results. The OM will coordinate with Global Logistics, Accounting, and the Customer to meet contract Incoterms and invoice requirements.

Responsibilities:
- Develop and maintain effective communication with various groups (including, but not limited to: Customers, Sales, Marketing Services, Project Management, Accounting, Traffic, and Facility planners/Production schedulers) and provide visibility to Manufacturing Plants of order requirements.
- Proactively engage with key project contacts to understand the needs of the customer and be informed of issues and concerns.
- Monitor and maintain supporting documentation for all capital equipment and project related sales orders in RigDoc application.
- Ensure internal and external supplier purchase orders are established timely and accurately in accordance with Sales Order demand requirements
- Process change orders, adjust sales orders, and process intercompany purchase order revisions as needed.
- Ensure delivery of equipment and/or services in accordance with contract. Communicate with facilities to ensure delivery of equipment and/or services in accordance with contract and relay information to Sales/Customers if delivery is impacted, as well as establishing a clear and common understanding of order requirements with all parties responsible for supplying product or service to the order.
- Research and prepare various reports using data from ERP and Cognos systems, then consolidate information into cohesive and understandable correspondence for use in management decision-making. Manage and process these daily/monthly reports in a timely manner.
- Schedule and/or participate in production meetings to determine order priority/other requirements needed to keep all parts on track.
- Assist with employee training by helping to conduct training sessions covering training plan curriculum.
- Assist in writing detailed, globally understood procedures for permanent records and for use in training; assist in annual review of business process/procedures and Participate in annual quality and training assessment.
Job Requirements:
- Bachelor's degree from a four-year college or university; or three to five years related experience in business and/or operations; or equivalent combination of education and experience. Contract-related experience is preferred.
- Ability to manage multiple stakeholder expectations
- Experience using ERP systems (Oracle, SAP, JDE etc.)
- Working knowledge of contractual concepts, Uniform Commercial Code, Incoterms, and export compliance laws
- Intermediate working knowledge of MS Office Suite
- Strong verbal and written communication skills
- Strong critical analysis and problem solving skills
