We are currently seeking a Client Assistant 8 months duration, reporting directly to Document Control Section Head to join our Engineering team based in Rome - Italy

Languages: Excellent skills in English writing and reporting; any other additional languages is an asset.

About the opportunity we offer:
Your main roles and responsibilities are:
- Ensuring adequate and seamless communications and coordination between Client and Contractor.
- Arranging travel and accommodation for Client team when travelling; Liaising with colleagues and external contacts to book travel and accommodation and maintain travel register;
- Coordinating inductions and welcome packs for new Clients people arriving to the Home office;
- Liaising with Client personnel in other Countries and with external contacts/departments
- Ordering and maintaining stationery and equipment;
- Arranging rooms and conference facilities as required for all meetings, workshops and training requirements and ensure adequate facilities are available; Coordinating refreshments for Client Team meetings
- Creating and maintaining filing systems;
- Updating contact phone list for the project
- Using Client Document Management System to handle all the correspondence issued from/to Contractors
- Organizing and filing paperwork, documents and incoming/outgoing letters;
- Scheduling meetings, workshop, creating agenda or meeting invitation on behalf of managers;
- Photocopying, scanning and printing various documents, sometimes on behalf of other colleagues;
- Managing interface with IT Department for printers, phones, wi-fi and internet connection.
- Scribe at meetings where required
- Formatting and compiling presentation packs for meetings in conjunction with presentation authors.
