JOB DESCRIPTION

Job Summary:

Manage WLF aftermarket jobs from inquiry to customer collection including not limited to receive RFQ, quote, receive PO, receive goods in sheet from technical team , compile job documents, order parts needed to complete the job, receive goods out sheet from technical team , making sure customer collect the equipment and sign the DN to issue the invoice, update the work records and documents in the system, this goes for service and rental equipment.

work on tenders and do customer visits.

RESPONSIBILITIES/ACCOUNTABILTY & AUTHORITY:

1.) Communicate with customers on daily basis ensuring quick response .

2.) Receive RFQ and prepare quotes for rental and service and follow up with workshop team on service progress.

3.) Receive PO do contract review and issue order acknowledgement for rental and service orders from the system.

4.) Make sure all documents are uploaded to the system and added to the shared drive.

5.) Manage work documents and update tracking sheets.

6.) Create Work orders and control cost by reviewing with the technical team the required shortages before submitting to procurement to see if some shortages can be sourced locally in less lead time and less cost.

7.) Populate work pack as work progresses.

8.) Make sure the cost is captured to the work order and linked to the sales order. Review the cost and close WOs after completing the service and make sure they are dispatched from system and ready for invoicing.

9.) Tracks the status of orders and work orders to ensure that they are completed on time and to the customer's satisfaction

10.) Follow up with spares team, logistics team and warehouse for parts status. Attend calls related to strategic planning for forecasted spare parts.

11.) Works closely with the technical team to ensure that all orders are delivered on time and to the customer's specifications. Also attends regular production and customer calls and meetings to provide updates and resolve any issues.

12.) Help invoicing team for outstanding payments to improve AR

13.) Review with invoicing team on all OAs that are dispatched but not invoiced.

14.) Regular visit to customer to get feedback on our services and see if there are nay developments points need to be addressed.

15.) Cooperate and accept any additional task assigned to you permanently or temporary in direct relation to this scope of work.

16.) Help WLF group to optimize our inventory , by following up on regular basis on the opened WOs for S&OP and rental equipment .

BEHAVIORAL SKILLS/COMPETENCIES & EXPERIENCE REQUIRED:

  1. Diploma or higher degree in Accounting or equivalent.
  2. 1 - 3 Years of Experience.
  3. High-speed typing on the computer. Type efficiently and accurately without needing to look at the keyboard.
  4. Proficiency in Microsoft Excel. highly skilled in using Excel . Creating and managing formulas, pivot tables .
  5. Ability to create professional reports .
  6. Ability to work with a diverse group of employees .
  7. Ability to work under pressure .
  8. Time management .
  9. Communication skills and customer handling .
  10. Flexibility to working hours , specially when it comes to urgent or critical requests beyond working hours .
