Wood is recruiting for a Project Administrator / Technical Assistant with excellent coordination and stakeholder management skills to provide support for the Contract Manager as we partner with a major player in the Oil & Gas industry on a major brownfields Engineering Service Contract. This is an opportunity to join our expanding Operations team, as part of our strategic growth plan for 2025 and beyond. Based in Perth CBD, this is a permanent part-time (job share) role.

RESPONSIBILITIES

Reporting to the Contract Manager on a day-to-day basis, you will provide for all service requests across technical & project administrative support and general office duties of a confidential nature. Your role also functionally reports to the Lead Technical Assistant as you join a wider TA team that that supports all of Wood's client contracts.

You will thrive on the challenge of managing stakeholders in highly visible roles with a degree of client interaction and assistance. Your organised, flexible and agile approach will enable you to proactively support to one or more project teams simultaneously, all working to a safe and successful delivery.

You will enjoy working in a fast-paced environment while moving between a range of different systems and processes that will keep you on your toes. Your attention to detail means you never miss a beat, and your excellent communication (both written and verbal) will ensure you and the team are always on the same page as you tackle challenges together.

In addition, other responsibilities will include:
  • Supporting the Contract Manager and Project Delivery team with preparation, submission and approval of the RTS
  • Attending client / contract / project meetings (as required)
  • Attending Engineering Resource meetings
  • Communication and coordination with HVEC offices
  • Ensuring all staff are aware and follow the RTS procedures and supporting staff with guidance to document management policies
  • Performing full clerical, administrative, and general office duties of a responsible and confidential nature
  • Managing and maintaining stakeholder engagement at all levels within and outside of the organisation

Expected:

You must hold full work rights in Australia to be considered for this role. Those with ongoing work right applications are also encouraged to apply.

Ideally, you are an independent, office-based professional with 2+ years of proven administration experience working in a similar role within the Oil & Gas / Mining / Construction industry sectors.

In addition, you will be:
  • Detail focused with excellent administrative skills, typing with both speed and accuracy
  • An intermediate to advanced IT user and experienced in MS Office Suite and other document handling programs (i.e. Outlook, Word, Excel, PowerPoint, Visio, Teams, SharePoint, OR Adobe PDF)
  • Excellent interpersonal and communication skills (both verbal and written)
  • A team player who always has your teammates back and understands to win, we work together
  • Punctual, reliable, conscientious, courteous and care to go the extra mile to make the difference
  • A problem solver with a "solutions mindset" and never give up
  • Organised with an ability to manage a range of tasks with changing / competing priorities while still delivering results - all at a fast pace!

Desirable:

What will set you apart is your proven experience working within a multidisciplinary engineering project environment, providing efficient project administration in direct support for senior leaders. A Business & Administration Certificate II (or similar) is advantageous but not essential.
