Principal Specialist, Document Management
• Lead and manage the Document Control team, including recruitment, onboarding, performance management, and training.
• Develop, implement, and maintain document control processes, procedures, and best practices across all active projects.
• Ensure the timely receipt, registration, tracking, distribution, and archiving of all project documents in line with contractual and project requirements.
• Interface regularly with internal departments (Engineering, Project Management, Procurement, Quality, Construction, etc.) and external parties (clients, contractors, vendors) to manage document flow.
• Oversee the setup and configuration of Electronic Document Management Systems (EDMS) tailored to project-specific needs.
• Maintain master document registers, ensure version control, and manage transmittals in compliance with established workflows.
• Conduct periodic audits to verify data accuracy, compliance with standards, and system integrity.
• Develop and generate reports, KPIs, and dashboards to monitor document progress and team performance.
• Provide subject matter expertise during project kick-off, close-out, and handover stages.
• Ensure confidentiality, security, and proper classification of all documents and records.
• Support internal and external audits and regulatory inspections as needed.
• Contribute to continuous improvement initiatives by identifying process gaps and recommending automation or efficiency solutions.
• Minimum 8+ years of progressive experience in Document Control, including team leadership in large-scale projects (engineering, construction, oil & gas, etc.).
• Proficiency with EDMS platforms such as Aconex, Documentum, or SharePoint.
• Advanced knowledge of Microsoft Excel (pivot tables, macros, formulas, VLOOKUP, etc.) and related reporting/analysis tools.
• Strong understanding of document numbering systems, metadata standards, version control, and document lifecycle management.
• Proven ability to manage high document volumes across multiple stakeholders.
• Excellent communication, problem-solving, and organizational skills.
• Capable of working independently while effectively leading a team under tight deadlines.
• Familiarity with client-specific documentation requirements and contract deliverables is a strong plus.
