Team Assistant / Coordinator for HR

Job Overview

We are looking for a highly organized, proactive, and resourceful Team Assistant / Coordinator to serve as the backbone of our team. This role is critical in ensuring seamless operations, supporting day-to-day activities, and driving efficiency through coordination, reporting, and problem-solving. The ideal candidate is a sharp multitasker who thrives in a fast-paced environment, anticipates needs before they arise, and takes ownership of tasks to keep the team running smoothly.

Responsibilities

• Provide HR and administrative support

• Support employee engagement initiatives, events and activities

• Organize team engagement events, manage logistics for leadership meetings, assists with travel arrangements, calendar management and expense claims

• Coordinate new joiner onboarding activities

• Implement effective records management, storage and archiving files and correspondence, confidential reports and other documentation

• Assist in preparing, planning and executing ad-hoc tasks / projects as assigned

• Analyse and organise information & prepare regular / ad-hoc reports and presentation decks to deadlines

• Analyse data trends and present findings in clear, actionable formats

• Act as a liaison between departments, ensuring smooth cross-functional collaboration

• Create & update SOPs for recurring transactional activities (i.e. Reports, Regional Processes)

• Act as a gatekeeper for team priorities, ensuring deadlines are met and stakeholders are aligned

Requirements

• University degree

• 2 - 3 years of experience in HR or administration

• Proficient in PC skills and Microsoft office applications such as Excel (e.g. vlookup, pivot table, mail merge, etc.), PowerPoint & Word

• Good command of written and spoken English and Chinese as well as conversational level Mandarin

• Detail minded, positive work attitude, customer oriented, and able to handle multi-tasks with good organizing skills

• Team player and willing to learn

• Immediate availability is highly preferred
