The Role

As the Petroleum Operations Coordinator, you will be a vital partner to the Director of Petroleum and Lubricant Operations, ensuring our fueling infrastructure, vendor coordination, and compliance tracking operate seamlessly. This role supports field operations by organizing critical documentation, scheduling vendor activities, maintaining inventory data, and supporting audit readiness. The ideal candidate is an operations-minded professional with a strong administrative skill set, attention to detail, and a desire to grow within a compliance-driven, service-focused environment.

You will work cross-functionally with logistics, customer service, compliance, and field teams to resolve issues, track operational activities, and deliver timely support. We'll equip you with tools, mentorship, and opportunities to develop industry-specific knowledge, including cardlock fueling systems, AQMD inspections, and petroleum infrastructure workflows.

What You Will Do
  • Coordinate preventive maintenance and repairs for fueling systems, tanks, and related infrastructure through external vendors.
  • Track and manage permit documentation, fuel inventory records, and compliance logs.
  • Assist with audit readiness efforts for AQMD and other regulatory inspections, ensuring timely documentation and response.
  • Input pricing, support margin tracking, and reconcile billing data to ensure financial accuracy and operational integrity.
  • Use Excel and system tools to generate reports, monitor downtime, and track key metrics.
  • Collaborate with dispatch, sales, and customer service to triage operational issues and support smooth service delivery.
  • Support field teams by communicating repair timelines, troubleshooting fueling access, and coordinating system functionality fixes.
  • Assist in the rollout and documentation of operational workflows, special projects, and initiatives led by the Director.
  • Manage vendor relationships and coordinate schedules for external contractors and compliance inspectors.
  • Monitor updates to environmental and safety regulations that may impact site operations.
  • Uphold company values, safety policies, and standards of conduct

What We're Looking For
  • 2-5 years of administrative or operations support experience-preferably in petroleum, transportation, construction, or another compliance-driven industry
  • Strong communication skills (verbal and written) with the ability to coordinate across departments and work with external vendors
  • Basic understanding of petroleum operations or fueling infrastructure, with a willingness to grow in areas such as cardlock systems and environmental compliance
  • Intermediate Excel skills (e.g., formulas, filters, pivot tables); familiarity with ERP systems or dispatch tools is a plus
  • High attention to detail and strong organizational skills to manage competing priorities and maintain accurate records
  • Ability to work effectively under the direction of the Director of Petroleum and Lubricant Operations, with openness to mentorship
  • Flexibility and adaptability to respond to changing business needs and time-sensitive issues
  • Commitment to quality, safety, and integrity in day-to-day work
  • Customer-focused, proactive mindset with strong problem-solving and troubleshooting skills
  • Experience in logistics, fuel distribution, construction, or other regulated industries is a plus-but not required
