Job Description

This role is an exciting career opportunity for those of you who are fluent in English and who aspire to develop a career in the Contracts and Procurement field.

As a Subcontracts Administrator you will be mainly responsible for processing Purchase Requests using the standard subcontracts agreements to ensure that subcontractors fully meet Company and project requirements. This activity consists of analyzing and interpreting a wide range of documents, including the review of the scope of services, schedule, basis of compensation.

The purpose of the role is to manage the Subconsultants and Subcontractors contracts in alignment with the main client contracts, to closely collaborate with internal stakeholders and proactively identify potential risks involved with specific contract terms. This role is customer-focused, therefore working to defined timescales, achieving successful solutions for processing of data and administration, whilst implementing them to the full satisfaction of all stakeholders are key to the success of this role. There is also a requirement to be striving for continuous improvement, implementation of standards and identifying new process improvements (where appropriate).

Ideal candidates for this role are detail-oriented, accountable and proficient multitaskers. Ideally you will need to be a highly technical and organized person, manage to prioritize different projects, pay attention to details and take full ownership of the tasks with a high sense of autonomy. You will ensure all activities are in compliance with the company policies and working procedures. You will also investigate any issues or gaps process related and provide solutions in order to streamline the process.

You will report as per the FSSC hierarchy, but frequently you will be closely collaborating with the Contracts and Procurement team in the US, as the majority of the support activities will be performed for their business. Initial training will be given, but a critical thinking and constant pursuit for excellence is what will help you succeed in this dynamic role.

The Subcontracts Administrator role is part of the Procurement Team of AtkinsRéalis's Finance Shared Service based in Bucharest.

Responsibilities
  • Processing all documents needed for a PO creation for Subconsultants and Subcontractors on projects.
  • Preparing and reviewing subcontract documents and amendments. Working in collaboration with Senior Administrators to ensure that requirements from the prime contract are included in the subcontracts. Making sure that the terms and conditions in the subcontract are suitable and meet the necessary standards.
  • Reviewing the vendors registration status and ensuing that the mandatory Certificates, Licenses and Documents are within the validity date.
  • Preparing reports and contractual correspondence for project management and client.
  • Maintaining accurate tracking records tailored to the assigned subcontracts.
  • Assisting with subcontract closeout actions, completing file documentation, and forwarding subcontract files to storage.
  • Supporting internal and external audits as required.
  • Serving as liaison between subcontractor, project management and procurement personnel.
  • Performing additional assignments and duties requested by the Team Leader


Requirements
  • Proficiency in English & Romanian
  • Good knowledge of Microsoft Office Suite
  • Excellent reading and comprehension skills
  • Proficient ability to detect errors and inconsistencies
  • Basic knowledge of Oracle or another ERP system
  • Knowledge of Procure-to-Pay process
  • Basic accounting knowledge is a plus
  • Experience of working with multiple stakeholders
  • Previous experience in Contract Administration/Supply Chain/Procurement fields is a plus
  • University Degree (in Business administration, Accounting or Economics) or relevant work experience
