Job Purpose

The Material Coordinator is responsible for planning, coordinating, and controlling all material-related activities for the project to ensure on-time delivery, adherence to budget, and compliance with quality and safety standards. This role supports Brownfield EPCM activities by managing procurement logistics, material control, cataloging, expediting, and warehouse/inventory management to meet project milestones and client requirements.

Job Responsibilities
  • Material planning and scheduling

Develop and maintain material master data, bill of materials (BOM), and procurement schedules aligned with project milestones.

Create and manage material delivery plans to ensure timely availability at site and workshops.
  • Procurement support

Coordinate with procurement teams to issue RFQs, evaluate bids, and select suppliers for Brownfield EPCM scope.

Track lead times, create purchase orders, and monitor expediting status to avoid schedule slips.
  • Logistics and delivery

Arrange inbound/outbound logistics, warehousing, and inventory control; ensure proper storage and handling of materials.

Manage import/export compliance, customs documentation, and foreign vendor coordination as required.
  • Material control and quality

Inspect, receive, and verify materials against specifications, drawings, and QA/QC requirements.

Implement non-conformance procedures and corrective actions for material issues.
  • Documentation and reporting

Maintain accurate and up-to-date material records, transmittals, MRBs, and material deviation notices.

Prepare regular progress reports, material status dashboards, and KPI metrics for project management.
  • Vendor and site coordination

Liaise with site teams, fabrication shops, and vendors to resolve material-related issues, shortages, and changes.

Support erection/installation activities by ensuring the availability of required materials at the right time and place.
  • Health, Safety, and Security

Ensure material handling and storage complies with HSE policies; participate in risk assessments related to materials.

Technical Skills
  • Experience: Minimum 8 years in Brownfield EPCM projects, with a focus on material coordination and logistics.
  • Industry knowledge: Petroleum, refining, or petrochemical brownfield projects; familiarity with Gulf/Middle East regulations is a plus.
  • Materials management: Proficiency in SAP/ERP-based material management, MRP, procurement, inventory control, and expediting.
  • Document control: Strong ability to manage POs, RFQs, submittals, transmittals, and close-out documentation.
  • Quality & QA/QC: Understanding of inspection plans, material certifications, welding/fabrication standards, and non-conformance processes.
  • Logistics: Experience with domestic/international freight, incoterms, customs clearance, and warehousing best practices.
  • Tools: MS Office (Excel, Word, Outlook), database systems, and reporting tools; familiarity with drawing/data room software is advantageous.
  • Interfacing: Ability to read and interpret drawings and technical specifications; strong attention to detail.

Qualifications
  • Education: Bachelor's degree or Diploma in a related field (e.g., Supply Chain Management, Materials Management, Engineering, or equivalent).
  • Experience: 8+ years of experience in Brownfield EPCM projects, specifically in material coordination and logistics.
  • Certifications (preferred but not required): Certifications in materials management, procurement, or project logistics; safety certifications (e.g., IOSH, NEBOSH) are a plus.
  • Language: Proficiency in English; additional language skills relevant to the region are a plus.
