Airswift is working with a leading Oil and Gas company to find a Grant Contract Administrator to join their team in a 1-year contract in Chicago, IL with benefits!

Responsibilities:
  • With limited direction, the primary role of the Grant Contract Administrator is to develop structures and systems to successfully implement and manage all components of awarded grants. Grants may be federal, state, or local in nature. Grants will be released to public EV infrastructure funding.
  • The Grant Contract Administrator will work & collaborate with team members to support participant outcomes and ensure grant requirements are successfully met.
  • The Grant Contract Administrator serves as the primary point of contact for the grant administrator (i.e., "client") and will be responsible for managing all aspects of the grant management and delivery.
  • The Grant Contract Administrator will manage documents and deadlines, track grantee results, and will build and maintain positive relationships with the grant stakeholders, while ensuring compliance with all contract guidelines, and that programmatic outcomes fulfill all grant-based obligations.
  • Coordinate internal stakeholders to ensure successful implementation of the grant, including but not limited to:
  • Create systems and structures within to track progress and ensure clear communication across stakeholders. Making recommendations to management for system investments where needed.
  • Lead cross-functional internal and external project meetings to remove barriers and ensure progress towards participant outcomes outlined in the grant.
  • Monitor all grant materials and request changes to ensure that they strictly adhere to funder requirements.
  • Develop and manage deadline-based checklists based on funding solicitation requirements.
  • Lead billing of the grants, including review and submission of monthly vouchers/bills in accordance with approved budget.
  • Ensure the processes, operations, tracking systems, and reporting is tightly executed and highly effective.
  • Serve as organization-wide lead to ensure grant compliance:
  • Work with internal and external parties to ensure compliance with policy and procedures.
  • Collaborate with internal colleagues toward fulfillment and submission of grant requirements.
  • Ensure all performance reporting, contract billing, proposal submissions, and close-outs are timely and conform to all contract-specific requirements.
  • Ensure grant budgets, spending, and reporting are accurate and in compliance with local, state, and federal laws.
  • Manage fiscal compliance to ensure that expenditures charged to grants match application budgets, with necessary documentation, and coordinate internal communications/reports, including regular communication with the Finance Team regarding restrictions.
  • Data Management:
  • Oversee grant ? related data ? tracking, including reporting of grant enrollments and other metrics.
  • Ensure proper organization of grant-related and enrollment-related documents, files and referenced materials including participant income and employment verification processes.
  • Maintain accurate and up-to-date records and data.
  • Initiate and assist in special projects to develop more efficient reporting and data ? tracking procedures.
  • Reports best practices and ensures data collection in conjunction with other teams.
  • present essential grant related information and updates to the larger team.
  • provide updates on grant project status, next steps, and recommendations.
  • Work with various departments and partner with teams to ensure all grant-based obligations are fulfilled.
  • Capture best practices and lessons learned throughout the grant to inform future organizational efforts.
Requirements:
  • Minimum of 5 years of experience and/or undergraduate degree in a relevant field such as business administration or management preferred.
  • Strategic, results-oriented with extensive experience in public grants management.
  • Excellent attention to detail and commitment to accuracy in deadline-driven role.
  • Comfortable creating structure out of ambiguous situations.
  • Demonstrated history of strong leadership and discipline in quality management
  • Outstanding communication skills resulting in strong relationships, active listening, and collaboration.
  • Public EV infrastructure industry experience preferred.
  • Demonstrated intermediate level of knowledge of 23 CFR 680 - NEVI Standards and Requirements and 2 CFR 200 federal requirements.
