Petroplan is actively recruiting for a Senior Analyst, Records Management on behalf of a Houston-based LNG client.

This position will require the candidate to be in the office Monday-Friday and does not offer a hybrid work schedule.

About:
The Senior Analyst, Records Management will play a pivotal role in formulating, executing, and overseeing an all-encompassing records management (RM) initiative on behalf of the company. Reporting directly to the Records Management Manager, the Senior Analyst will collaborate closely with Legal, Information Management, and Regulatory teams to establish, execute, and enhance the RM program.

Responsibilities:
  • Working under the general guidance of the Records Management Manager, initiate and execute the RM program for our client in accordance with Federal, State, and local record retention regulations.
  • Enhance and refine the Records Management Policy and Schedule for the company, along with RM protocols, processes, and guidelines governing the creation, preservation, retrieval, and disposal of records and information.
  • Integrate legal and regulatory prerequisites and industry best practices into records management, encompassing aspects such as privacy, information protection, and retention schedules throughout the record lifecycle.
  • Collaborate closely with the Information Management team, offering expertise and supervision in developing and maintaining metadata and folder structures within electronic document management systems for our client.
  • Partner with IT to devise and enhance automated records filing procedures across various systems, including email and Hexagon systems.
  • Cooperate with other departments to identify and oversee information assets, ensuring their proper storage, security, and disposal.
  • Participate in audits to verify compliance with records management procedures and storage standards.
  • Contribute to the formulation of disaster recovery and business continuity plans in relation to records.
  • Develop and participate in company-wide training sessions on records management policies and procedures, including onboarding, orientation processes, and annual refreshers.
  • Provide records management awareness and guidance as needed.

Requirements:
  • Bachelor's degree in a related field.
  • A minimum of 6 years of recent, pertinent experience in records management.
  • 3 years of experience in developing and implementing records management programs, including policies and procedures.
  • Knowledge of legal and regulatory requirements pertaining to records management, covering privacy, data protection, and retention schedules.
  • Experience in overseeing electronic records management systems.
  • Robust project management skills with the ability to manage multiple projects concurrently.
  • Capacity to prioritize, organize, and exhibit meticulous attention to detail.
  • Effective written and oral communication skills.

Preferred Qualifications:
  • Experience within the Energy sector, particularly Oil and Gas.
  • Substantial technological background in implementing metadata-driven electronic document management systems, including SharePoint, OpenText, and Hexagon.
  • Comprehensive knowledge of records lifecycle management for both electronic and hard copy records.
  • Relevant certifications are a plus: IGP, CRM, CIP, and PMP.
