Experience:

  • One to three years of relevant experience.
  • Bachelor's degree in communications, education, organizational development, or a related field preferred.

Skills:

  • Proficiency in creating engaging web-based and social media content.
  • Familiarity with multimedia software applications (e.g., Canva) for creating graphics to support digital communications.
  • Strong initiative, attention to detail, and multitasking abilities.
  • Ability to maintain confidentiality and exercise discretion.

Activities

Role Overview: Communication Team Support

As a Communication Team Support member, you will play a crucial role in ensuring smooth operations within our corporate office. You'll collaborate with the Communication Team to enhance internal and external communication channels, contribute to content creation, and assist in various administrative tasks.

Key Responsibilities:

  • Intranet Updates and Content Creation:
    • Collaborate with the Communication Team to update and create content for our internal intranet platform (WAT).
    • Ensure timely dissemination of news and announcements to internal audiences via emails, TV screens, and WAT.
  • Email Management:
    • Monitor and manage the USA Communications email inbox, ensuring all messages are addressed promptly or forwarded to the appropriate contacts.
  • Editorial Calendar Management:
    • Maintain the USA Communication editorial calendar.
    • Remind team members of upcoming story deadlines and distribute messages as directed.
  • External Website Updates:
    • Assist the team in updating content on our external website.
  • Logistical Support:
    • Arrange meetings, conferences, and training sessions.
    • Handle logistics such as lunch/drink orders, room setup, and teardown.
  • File Maintenance:
    • Organize and maintain department files, including vendor records.
  • Financial Administration:
    • Process purchase orders and invoices in SAP.
    • Set up vendors for payment and follow up on checks requiring special handling.
  • Reporting and Documentation:
    • Prepare detailed department reports and documents.
  • Special Assignments:
    • Assist with ad hoc tasks, such as assembling materials for meetings, training sessions, and events.
  • Event Coordination:
    • Contribute to the preparation and coordination of company-sponsored meetings and events.
  • Other Duties:
    • Collaborate on additional projects within the HR/PA/GS group as assigned.

Context & Environment

The TotalEnergies American Services, Inc. ("TEAS") is a support organization that provides various support services to multiple TotalEnergies entities in the US. The Communications team specifically provides both internal and external communications services. This role requires the position holder to work in a complex, dynamic & fast-paced environment with multiple and frequently changing priorities. The Individual will work with different business units which requires strong stakeholder relationship, influencing and communication skills. The position is based in our Downtown Houston office.
