Candidate Profile

• A Social Science/Human resources degree plus a recognized professional qualification.

• Certificate of Proficiency in Pension Fund Scheme Trusteeship

• Training in Payroll Administration and Tax (PAYE)

• Minimum of 3 years relevant experience in payroll and pension administration

Activities

Compensation & Benefits

• Responsible for accurate and timely payroll processing and payment of all remuneration and social and statutory charges, and ensure they are paid in line with applicable legislation, Group and TZIM policies and procedures .

• ensure salaries and related obligations are accurate and paid by the 25th each month

• Monitor Remuneration Package and coordinate Variable Compensation Scheme - (VCS) for sales team members.

• Remain updated on labour laws and their financial impact and work alongside CODIR to ensure compliance

• Work together with the HR Manager in ensuring proper administration of all compensation and benefits

• Main point of contact and administrator for Pension scheme, Shares (Amundi), Life Assurance and Permanent Disability Cover , Medical Aid Cover and partake in renewal negotiations

• Upload payroll batch into SAP and do reconciliation of SAP and Payroll every month and liaise with Finance team accordingly

• Prepare and participate in all meetings pertaining to employee engagement and relations

• Assist the Human Resources Manager in making relevant salary review/bonus calculations (ASR) and all Head Office reporting

• Ensure correctness and compliance with statutory levies and taxes

• Analyse SAP GL payroll related accounts and assist HRM in the preparation of HR budget.

Housekeeping of Anael Payroll and Anael RH systems

• Carry out housekeeping and updates of the HRIS,HR4U and Anael system

• Initiate RSF tickets for updates of new regulations governing PAYE Tax rates, rates of government statutory levies and creation of new earnings or payroll deductions in Anael Payroll.

• Initiate RSF tickets for creation and modification of Job positions and system organogram in Anael RH.

• Allocate job positions to employees in Anael RH.

• Link new employees created in Anael Payroll to Anael RH through Anael RH environment in payroll.

• Ensure accurate and up to date Personal Data Management in Anael

Leave Management

• Monitor leave of employees - check entitlement, whether the leaves have been authorised by the relevant line manager, and update attendance records using the local software accordingly. Ensure leave plans are signed by all Departments and are followed .

Personnel file administration

• Ensure that accurate personnel data is input in Anael RH/Anael paie in a timely fashion

• Ensure that organisational chart is updated as and when required

• Ensure employee accounts are updated and closed upon termination of the contract

• Ensure Anael is updated on fixed term contracts renewal

• Liaise with Head Office for updates and modifications of organisational chart

Pension Fund, Medical Insurance and Life Assurance

• Coordinate daily activities of the Fund and ensure compliance with the Insurance and Pensions Commission (IPEC) regulations and local laws.

• Submit monthly data (contributions & membership) to Fund Administrators (First Mutual Assurance Company)

• Arrange Trustees' meetings in consultation with the Fund Administrators.

• Ensure management of the Pension Fund - Local (Old Mutual) and Foreign (Defipro or other scheme where applicable)

Property Management

• Track and monitor property management contract with the Property Manager for Pegasus House, Company Houses, Pension Fund residential properties under Headquarters regarding rent receivable.

• Account for rental received for properties under HR.

Administration

• Take Minutes during hearings of employees with Disciplinary Authority.

HR Returns

• Compiles HQ returns (ASR, ISM and other employee payroll related returns as requested by HQ and affiliate finance department).

• Compile and submit statutory returns (i.e. PAYE monthly P2 form and annual ITF16, ZIMDEF, NSSA, STDS Dev Fund monthly returns,NEC,GLA,Medical Aid )

Administration

• Liaise with Procurement team & suppliers for tender exercise and accurate processing of purchase requests

• Ensures that information from Anael/HRIS is accurate and extracts reports quarterly or as required

• Replacement and maintenance of vehicles

• Manages CAPEX budget for vehicles & attend investment meetings.

• Update the Company Asset Register for HR CAPEX Purchases and create HR CAPEX and specific OPEX purchase requisitions on myeproc.

• Involved in ad-hoc projects as assigned by Management

• Retrieve necessary data and compile relevant KPIs regularly

Other
Carry out any other duties as may be assigned by Management
