About the role:

Kent is looking for a permanent full-time Onboarding Talent Specialist, APAC to be based in the Perth CBD. As an Onboarding Talent Specialist at Kent, you will play a key role in preparing candidates in the recruitment process and welcoming the new talent into our organisation across multiple projects and offices in the APAC region. You will ensure a seamless transition for new hires, enabling them to quickly integrate into our unique Kent work environment and contribute effectively to our projects in the energy sector.

This role offers a dynamic opportunity where your expertise in onboarding and talent management will directly impact our success. You'll have the opportunity to grow professionally and make a meaningful difference in our APAC regional operations while having the opportunity to improve and create new processes and service offerings to our candidates and clients.

In your role as the Onboarding Talent Specialist you will be responsible for all mobilisation and onboarding processes, procedures and compliance and will functionally lead the Project Onboarding Coordinators to ensure consistency and alignment across the region.

This role depth will be beyond onboarding, as you will get the opportunity to work on or lead various meaningful Talent Acquisition projects to enhance the department, our projects and your career.

Your responsibilities will include:

Candidate Management:

• Once the Talent Acquisition Specialist hands over the selected candidates, you are to collect all required identification and competency documentation (e.g. certifications, licences) and verify them as required.

• You are to obtain references for each candidate and complete additional relevant background checks.

• Maintain communication with candidates throughout the recruitment process to provide updates and gather feedback.

• Manage candidate inquiries and ensure a positive candidate experience from application through to onboarding and advocate for the Kent way and culture.

• You may be required to assist in advertising and shortlisting blue and white collar candidates.

Onboarding and Mobilisation:

• Prepare all employment contract documents and ensure all necessary onboarding paperwork is completed accurately.

• Collaborate with multiple teams including Talent Acquisition, HR, hiring managers, and project teams to facilitate the- appropriate onboarding process for new hires.

• Present the Kent Induction to our new starters and continuously update the induction as required.

• Manage all aspects of mobilisation and compliance, including client approvals, site access, training verification.

• Coordinate mobilisation logistics including travel arrangements, accommodation, visa processing, and compliance with local regulations and any client requirements.

• Coordinate any safety or project training and inductions.

• Provide timely updates and support to stakeholders regarding mobilisation status and logistics.

Documentation and Compliance:

• Ensure all recruitment and mobilisation activities comply with company policies, legal requirements, and industry standards.

• Complete all system requirements including Oracle (HRIS) and Avetta (Compliance).

• Maintain accurate records and documentation related to recruitment activities, candidate assessments, and mobilisation logistics.

• Maintain audit logs and assist in any internal and external audits.

Supplier Management:

• Directly liaise with Talent Acquisition suppliers to ensure they are providing the appropriate services and maintain relationships. Supplies include Medical Providers, Training Providers, Competency Software Providers, Agencies etc.

Reporting and Continuous Improvement:

• Work with the Director, Talent Acquisition to generate reports and metrics to track recruitment and mobilisation activities, including time-to-fill, cost per hire, and candidate sourcing effectiveness.

• Analyse data to identify trends and opportunities for process improvements in recruitment and mobilisation strategies.

• Provide appropriate training and lead any Project Recruitment and Onboarding Coordinators to ensure consistency across the APAC region.

• Identify potential risks related to mobilisation activities and implement proactive measures to mitigate them.

In addition to the responsibilities listed herein, the employee may be required to perform other ad-hoc tasks as needed or directed by the supervisor or management.
